Waiver and Release of Liability

Please carefully read the below, prior to accepting the checkbox in your booking form. I, the undersigned, being the owner or the authorized agent of the owner of the

listed pet(s), hereby agree to the following terms and conditions for the services provided by South West K9 Solutions.

1. Acknowledgment of Risk:

   - I understand that while South West K9 Solutions will do their best to keep my pet(s) healthy and safe, I acknowledge that participation in dog walking, pet sitting, and dog training services involves inherent risks, including but not limited to injuries, accidents, illness, or death of the pet(s).

2. Assumption of Risk:

   - I, the owner, voluntarily assume all risks and hazards associated with the services provided by South West K9 Solutions, including but not limited to interactions with other animals, traffic, environmental conditions, and any unforeseen incidents.

3. Release of Liability:

   - I hereby release, waive, and discharge South West K9 Solutions, its owners, employees, agents, and representatives from any and all claims, liabilities, an expenses, including but not limited to, personal injury, property damage, illness, or death that may occur to my pet(s) while under their care, custody, or control.

4. Indemnification:

   - I agree to indemnify and hold harmless South West K9 Solutions, its owners, employees, agents, and representatives against any and all claims, damages, losses, and expenses (including attorney fees) arising out of or in connection with the services provided, including those caused by the negligent act or omission of any of the aforementioned parties.

5. Medical Emergencies:

   - In the event of a medical emergency, I authorise South West K9 Solutions to seek veterinary care for my pet(s) and agree to be responsible for all associated costs. I understand that reasonable efforts will be made to contact me or my emergency contact prior to seeking emergency care.

6. Behavioural Issues:

   - I affirm that my pet(s) has/have no known aggressive tendencies or behaviours that would pose a risk to other animals or people. I agree to notify South West K9 Solutions of any behavioural changes or new medical conditions that arise.

7. Photo and Video Release:

   - I consent to the use of photographs and videos of my pet(s) taken by South West K9 Solutions for promotional and marketing purposes.

8. Governing Law:

   - This waiver and release of liability shall be governed by and construed in accordance with the laws of the State of Western Australia. Any legal action or proceeding related to this waiver shall be brought exclusively in the courts of the State of Western Australia.

By accepting these terms, I acknowledge that I have read, understood, and agree to the terms and conditions outlined in this waiver and release of liability.

Booking Policy

All appointments must be booked online via South West K9 Solutions’ Acuity Booking Platform or personally with our staff. Sessions are not confirmed until you receive an email confirmation. Bookings must be made online at least 24 hours in advance across all services. If you would like to book a dog walk or another service within 24 hours of the proposed booking time, you will need to manually request this with our team personally, either by phone or email. No guarantees that booking within the 24-hour window leading up to a booking time slot will be available.

Booking forms will not be able to be edited or added to no later than 24 hours prior to bookings. If there is anything additional you wish to notify South West K9 Solutions about closer to your booking, please get in touch directly to discuss with our team.

House Sitting

Booking and payment for House Sitting services are handled manually by South West K9 Solutions to ensure personalised attention and scheduling accuracy.

  • To initiate your booking, a $5 token fee is required online to select a 15-minute arrival window to begin the house sitting service.

  • This $5 fee will be credited toward your total booking price.

After you complete the Home Visit Booking Form, we will review your information and personally contact you to confirm your booking and provide a custom invoice.

House Sitting Payment Terms

  • To secure your house sitting booking, a 20% deposit of the total invoice amount is required immediately upon receipt of your custom invoice.

  • The remaining balance must be paid in full prior to the commencement of house sitting services and before the designated arrival time.

House Sitting Cancellation Policy

  • Cancellations made within 5 days of the scheduled booking will incur a 20% cancellation fee, which is in addition to the initial 20% deposit and is non-refundable.

  • This fee covers the reservation of your service time and administrative costs.

Cancellation & Rescheduling Policy

Cancellations or reschedules must be made at least 24 hours prior to your appointment time. Changes within 24 hours may result in the full session fee being forfeited. You can manage your appointment via your confirmation email link or by contacting us directly.

Disclosure of Information and Booking Cancellations

Clients are responsible for ensuring that all information provided in intake and booking forms is complete and accurate at the time of booking.

Please note that South West K9 Solutions reserves the right to cancel any booking including within 24 hours of the scheduled appointment, if new or previously undisclosed information comes to light that may:

  • Compromise the safety of the dog, other dogs, the trainer, or members of the public,

  • Indicate the service booked is not appropriate for the dog’s needs or behaviour,

  • Conflict with our service policies, capacity, or ethical standards.

In such cases, clients will be notified immediately. A credit or refund may be issued at our discretion, depending on the circumstances.

If you need to provide further details not covered by your form, please contact us directly as soon as possible. Last-minute disclosures may limit our ability to accommodate your needs.

Refund Policy

Eligible for Refunds (with minimum 5 days' notice)

Refunds are only offered for the following services if cancellation is made at least 5 days before the scheduled appointment:

  • Wedding Chauffeuring

  • Home Visits

  • Dog Training Sessions

  • House Sitting (excluding 20% deposit)

If cancellation occurs within 5 days of the appointment, refunds will not be issued. However, you may be eligible for a credit toward a future booking (see below). This excludes House Sitting services in which refunds still will be granted within this period, excluding 20% deposit and 20% cancellation fee.

No Refunds – Credit Only (if cancelled 24+ hours in advance)

The following services do not qualify for refunds. If cancelled or rescheduled at least 24 hours in advance, a credit will be issued:

  • Solo Dog Walks

  • Pack Walks

Cancellations within 24 hours of the appointment are non-refundable and not credited, as this time has been reserved exclusively for your pet.

How Credits Work

You may receive a credit for a cancellation or if you are booking a Pack Walk Bundle. Credits issued due to cancellations can be used towards a future service of the same type. Credits issued through a Pack Walk Bundle will expire after a 7 day period.

Trainer’s Right to Cancel

While we make every effort to honour all scheduled appointments, there may be occasions where we need to reschedule or cancel a session due to emergencies, illness, severe weather, or unforeseen personal circumstances.

Client Notification

  • You will be notified as soon as possible via the contact method you provided at the time of booking (typically SMS and/or email).

  • Where possible, we will offer at least 24 hours’ notice, though emergencies may require shorter notice.

Rescheduling or Compensation

  • You will be given the option to reschedule your session at no additional charge.

  • If rescheduling is not suitable, you may request a full credit toward a future session.

  • In circumstances where rescheduling cannot occur within a reasonable timeframe, a full refund will be offered — this applies regardless of your booking type.

We appreciate your understanding and flexibility should this rare situation arise.

Aggressive or Dangerous Behaviour

South West K9 Solutions prioritises the safety and wellbeing of all dogs, staff, and members of the public.

If, at any time during a session, a dog displays aggressive, reactive, or dangerous behaviour that poses a safety risk, we reserve the right to:

  • Immediately end the session, and/or

  • Refuse to continue with future services until a behavioural assessment has been conducted.

This includes behaviours that were not disclosed at the time of booking or have escalated since the last session.

Refunds are not provided in these circumstances. However, we may offer a credit or transfer of service at our discretion, depending on the context and level of risk.

Clients are responsible for accurately disclosing any history of aggression, fear-based behaviours, or incidents that could affect training or care outcomes.
